The MICE (Meetings, Incentives, Conferences, and Exhibitions) industry has transformed into a powerful space for live communication, bringing people together in immersive and impactful ways. Today’s MICE events are no longer just gatherings—they’re opportunities to create lasting impressions, build connections, and inspire action.

However, crafting these unforgettable experiences requires more than just a beautiful setup—it relies on a carefully constructed strategy that engages attendees and fosters true connection.

In this events industry experts series, Gerry Schneider, Network Partner at 123C Digital Consulting GmbH and VP of Events at WeAreDevelopers, shares his expert insights on how a strategic MICE approach, driven by live communication, can elevate events to impactful experiences that linger with attendees long after the event ends.

Creating Unforgettable Experiences: MICE, Event Strategy, and the Power of Live Communication

1. How would you define the unique impact of live communication in MICE (Meetings, Incentives, Conferences, Exhibitions)?

Live communication remains an often-underestimated tool in marketing, yet its relevance is growing as a means to engage target groups on a deeper, more sustainable level. Today, a well-crafted communication strategy is more crucial than ever.

Live communication does more than inform—it has the power to entertain, motivate, and inspire, allowing companies to develop an authentic brand presence that resonates with audiences. Customers can become loyal fans, and employees can transform into passionate brand ambassadors.

The role of live communication goes beyond meeting standard marketing objectives; it centers on fostering genuine, direct interactions with your audience. Authenticity is key here! Gone are the days when attendees passively listened to event content.

Successful live communication now embraces multi-sensory storytelling, immersing participants fully to forge a meaningful connection with the brand. Events today thrive on active involvement, creating valuable opportunities for stakeholders, partners, and (potential) customers to exchange ideas and form stronger bonds.

Digitalization has also unlocked new possibilities for live communication, enabling us to blend digital and in-person experiences, seamlessly bridging the gap between entertainment and information, emotional and rational engagement, and company and audience.

Furthermore, there is untapped potential in the Extended Event Momentum Cycle. Exceptional events don’t stand alone—they create lasting engagement. Through the Event Momentum Cycle, we can connect with our audience before, during, and after the event, transforming a single experience into a sustained relationship.

2. How has the understanding of attendee expectations evolved in recent years, especially post-pandemic?

I’ve observed that the pandemic has profoundly disrupted and reshaped audience expectations, making engagement a cornerstone of the industry’s evolution. Attendees today seek genuine purpose, human connection, and a sense of community, alongside greater flexibility and personalization in their event experiences. This shift was accelerated by the adoption of digital and hybrid formats, which set a new standard: seamless integration of technology and interactive digital experiences is now a fundamental expectation.

Today’s attendees also expect events to prioritize inclusivity and diversity, with a strong emphasis on accessibility, sustainability, and safety. This has made attendee well-being essential, prompting organizers to create customizable experiences with options for personalized schedules and varied content that caters to diverse interests. Post-pandemic, the demand for valuable, memorable in-person connections has highlighted the need for an attendee-centric approach in MICE strategies.

Additionally, we’ve witnessed a shift from annual flagship events to ongoing engagement throughout the year. Rather than relying solely on one major annual event, many companies now host smaller, targeted events year-round.

These focused gatherings allow us to address specific audience segments and their unique needs, creating more continuous and meaningful connections with participants. This trend is reshaping the event landscape, supporting a dynamic, sustained relationship with audiences.

3. How important is personalization in today’s events, and what are some ways organizers can tailor experiences to individual attendees?

Personalization is essential in today’s events, as it enhances attendee satisfaction, engagement, and loyalty. Tailoring experiences to the individual fosters a strong sense of inclusion, showing attendees that their unique interests and needs are valued. By leveraging technology—such as data analytics and AI—organizers can segment audiences way more effectively, allowing customized content, networking opportunities, and session options.

Offering personalized event agendas, where attendees select sessions or workshops most relevant to them, is a powerful way to meet these expectations.

Event apps and digital platforms support tailored opportunities, including pre-event activities that gauge preferences and enable targeted networking matches. Extending personalization to follow-ups or digital takeaways post-event reinforces the connection, making attendees feel seen and appreciated long after the event has ended.

4. When it comes to incentive programs, what are some strategies to ensure these experiences are unique and memorable?

I know that creating unique and memorable incentive experiences depends on personalization, exclusivity, and cultural immersion. A powerful approach is to integrate local elements that offer an authentic connection to the destination, such as exclusive cultural activities, private tours, or dining experiences with local chefs.

Allowing participants to tailor their itineraries to align with their interests can further enhance the overall experience.

At the WeAreDevelopers World Congress, we emphasized the pre-event phase by offering varied pre-check-in opportunities around Berlin. This gave attendees a chance not only to explore the city before or after check-in but also provided an ideal setting for networking.

For our high-profile guests, we curated additional exclusive experiences, including pre-event dinners, private luncheons, and dinners hosted at select venues across the city, creating a distinctive and memorable experience for each participant.

5. What are some ways to maximize ROI from MICE events, especially in terms of intangible benefits like brand loyalty?

I see that maximizing ROI from events extends far beyond traditional metrics; it’s about fostering brand loyalty, trust, engagement, and long-term relationships. Creating memorable, emotionally resonant experiences that deeply connect attendees with the brand is key to achieving this.

Aligning consistent storytelling with brand values, offering meaningful interactions with leadership—such as through fireside chats or podcasts—and providing exclusive content are powerful ways to build loyalty.

Equally important is post-event engagement. By using event data to drive personalized follow-ups and targeted content, we can keep the brand connection alive and meaningful. Encouraging attendees to share their experiences on social media further amplifies reach and strengthens loyalty within their networks.

It’s helpful to measure attendee sentiment and track engagement over time to measure success. These insights reveal the event’s enduring impact on brand loyalty and guide future strategy.
